1. Who we are
TARKA provides its services through two businesses:
| Services | Provided by |
| Term-time classes, holiday camps and classes, private classes, and sessions in nurseries and schools | TARKA London LLP, a limited liability partnership registered in England and Wales (registration number OC459178) |
| Birthday parties, nannying and mannying, Holiday Heroes and all other services | TARKA Group Limited, a company registered in England and Wales (company number 13522725), registered office 20–22 Wenlock Road, London N1 7GU |
In these terms, “TARKA”, “we” and “us” mean whichever of these businesses provides the service you have booked. “You” means the person making the booking. Our office is at The Pavilion, Chester House, 81–83 Fulham High Street, London SW6 3JW. You can contact us on 020 7164 6281 or at info@tarkalondon.com.
2. Booking
- Bookings are made through our booking system, Book.Tarka, unless we agree otherwise.
- Once you book, we will send you a booking confirmation email. Please check it carefully and tell us within 7 days if anything is wrong, such as dates, venue or your child’s details. After that, we will assume the details are correct.
- If you have not received a confirmation within 48 hours, please contact us.
- Your booking is only confirmed once it has been paid for in full.
3. Fees and payment
- Our prices and any offers are shown on our website and at the time of booking. If our website and other promotional material differ, the website price applies.
- Payment is taken through our booking system.
- If we agree a payment plan with you, you must keep to it. If you do not, we may cancel the booking.
- The full fee is payable even if your child does not attend the whole session.
- If there is an unpaid balance for any TARKA service, we may cancel your future bookings until it is paid.
4. Free trial classes
- Each child who is new to TARKA can have one free trial session at a holiday camp. Free trials cannot be used for term-time classes or other services. Codes are available on our website, our social media, or by completing the “First Class Free” form on our website.
- If a child attends more than one session using a free trial code, we may invoice you for the extra sessions and may decline future bookings.
5. Changes and cancellations by you
Our classes and camps are booked for specific dates, so the 14-day cancellation period that applies to many online purchases does not apply. Instead, the following terms apply. To make a change or cancel, please email or call us.
Term-time classes
Term-time classes are booked for the full term. If your child joins after the term has started, the fee is charged pro rata for the remaining sessions. Fees for the term are paid before the term starts, or when you book if joining part-way through, and are not refundable unless TARKA agrees in writing. This includes when a child is unwell, and we are unable to offer a make-up class for a missed session.
Holiday camps and classes
- Moving a session: you can move a session to another day with at least 48 hours’ notice.
- Cancelling: with more than 7 days’ notice, you will receive a full refund. Within 7 days of the session, we cannot offer a refund or credit.
- Illness: for individual class bookings, if you tell us at least 48 hours before the session that your child is unwell, we will add a credit to your account. We do not give refunds for illness. With less notice we cannot offer a credit, as instructors have already been arranged.
- Full-week bookings: because you receive a 15% full-week discount, we cannot refund individual days or move them to another week, including when a child is unwell. With more than 7 days’ notice before the first day, you can cancel the whole week for a full refund.
Birthday parties
- Please see the terms included with your party booking.
- Changes are subject to availability and must be agreed with us by email or phone.
Credits and refunds
- Credits can be used for any other class or camp on our booking system.
- Refunds are made to the original payment method within 10 working days.
6. Changes and cancellations by us
- We may occasionally need to cancel a session, for example because of low numbers, severe weather, venue problems or other circumstances outside our control. If we do, we will tell you as soon as possible and offer an alternative date, venue or activity, a credit, or a full refund for that session.
- We may need to adapt the activities in a session on the day, for example because of the weather. This does not entitle you to a refund, as long as the session still takes place.
- Information in our promotional material is correct when published, but details can change, and not every activity shown is available at every venue. The website always has the latest information.
7. Information about your child
- You must give us full and accurate information when you book, including any medical conditions, allergies, special educational needs or disabilities, and anything else that will help us care for your child safely.
- If your child has an allergy or medical condition, please complete the relevant forms on our booking system and email us at least 48 hours before their first session. Please tell us straight away if anything changes.
- If your child needs medication, including an adrenaline device or inhaler, you must complete a medication form and send the medication, in its original packaging, with your child to every session.
- If we do not have the information we need to care for your child safely, we may not be able to let them take part. In that case, a refund will not normally be given.
8. Collection
- Please collect your child on time. If you are running late, call the office on 020 7164 6281.
- We may charge a late collection fee. The fee is set out with each activity on Book.Tarka. If it is not paid, we may cancel future bookings.
- If a child has not been collected 45 minutes after the end of the session, and we have been unable to reach you or your emergency contacts, we will contact Children’s Services for advice, as set out in our Uncollected Child Procedure.
9. Behaviour
We work hard to keep every child safe and happy, and manage behaviour positively, as set out in our Promoting Positive Behaviour Policy. We do not tolerate discrimination or bullying. If a child’s behaviour repeatedly puts other children or instructors at risk, and the steps in that policy have not worked, we may ask you to collect your child and may withdraw their place. For children with special educational needs or disabilities, we will always talk with you first and consider reasonable adjustments, as set out in our SEND and SEMH Policy. A refund may not be given for sessions missed as a result.
10. Food and allergies
- TARKA does not provide food. TARKA sessions are nut free, and if an instructor finds food containing nuts, it will be removed.
- If you provide food at a birthday party or private session, you are responsible for telling guests what is being served and for protecting children with allergies from cross-contamination.
11. Personal belongings
- Please label your child’s belongings. We are not responsible for loss of or damage to belongings, unless it is caused by our negligence.
- Children should not bring mobile phones, tablets or games consoles to TARKA sessions. If they do, an instructor may look after the device until the end of the session.
12. Your information and photographs
We use your information as set out in our Privacy Policy, available on our website. We only use photographs of your child in our marketing if you have given permission on the booking form.
13. Complaints
If something has not gone right, please speak to the lead instructor on the day, or contact the office on 020 7164 6281 or at info@tarkalondon.com. We will acknowledge your complaint within 24 hours, as set out in our Complaints Procedure.
14. Our responsibility to you
- We take reasonable care to keep children safe. Like all physical activities, our sessions carry some risk of minor injury, such as bumps and grazes.
- We are not responsible for losses that were not reasonably foreseeable, or that are caused by events outside our reasonable control.
- Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot be limited or excluded by law.
15. Events outside our control
We are not responsible for delays or failures caused by events outside our reasonable control. If this happens, we will tell you as soon as possible and offer an alternative, a credit or a refund for any session that cannot go ahead.
16. General
- Changes to these terms: we may update these terms from time to time. The terms that apply to your booking are the ones in place when you booked.
- Our rights: if we do not enforce any of these terms straight away, we can still enforce them later.
- If part of these terms is invalid: the rest of the terms still apply.
- Third parties: only you and TARKA have rights under these terms.
- Law: these terms are governed by the law of England and Wales, and any dispute will be dealt with by the courts of England and Wales. If you live in Scotland or Northern Ireland, you can also bring proceedings in your local courts.
